As an example, if you don’t find a workshop useful, please tell us. We’re happy to do what it takes to help you achieve your goal.
Here are our cancellation policies for our workshops, coaching, and other training or content services.
We do not give a refund if you cancel a booking on an open workshop, but we’re happy to talk about alternatives.
Our workshops are popular and many have a waiting list. If you book a workshop and can’t come, contact us straight away to:
Arrange your replacement or transfer
Occasionally we have to cancel or postpone a workshop. If this happens, you’ll have the opportunity to transfer to another workshop or to receive a full refund of the fee you’ve paid.
If you cancel, change, or postpone a workshop, we reserve the right to charge you a fee.
To secure our trainers’ time when you book an in-house or bespoke workshop, we invoice a 50% deposit at the time of booking. We invoice the balance of in-house bookings on the day of the training, for the higher of the minimum fee or the number that attended.
If you cancel a confirmed booking, you will be charged 50% of the contract fee. In most cases, this amount is the deposit. If you cancel within 14 days of the workshop date, you will be charged the full fee.
We invoice for coaching services at the time of booking. If you cancel your coaching, you still need to pay the full fee.
When you book work with us, we may charge fees for any subsequent changes to the scope or timing of the work.
We will keep your confidential information safe at all times.
We will not use, copy, or communicate your confidential information to anyone except those employees and contractors who need the information to supply the service you require.
We will take all reasonable steps to maintain document security and make sure unauthorised people do not access your confidential information.

We’ll give you an estimate or quote for the cost of any service. When you book a workshop or other service, we’ll confirm project scope, timing, and fees with you.
If your requirements or the scope change during the project, we’ll discuss any variation to the cost with you.
We keep in touch during the project so you will know how the project is tracking.
For workshops and other training services, we’ll invoice when you make your booking. For in-house or bespoke workshops, we invoice a 50% deposit at the time of booking and the balance of the fee on the day of the workshop.
For document services, we’ll invoice for completed work each month and will appreciate your payment within 10 days, unless we agree otherwise. Small projects are invoiced in full once completed.
For Write Online, if you subscribe as an individual, you’ll get a free 7-day trial before starting your monthly or annual subscription. At the end of the trial period, you’ll be charged the subscription fee automatically unless you cancel before the end of the 7 days.
If you subscribe to Write Online as an organisation, your licence agreement covers how we invoice. If you’ve signed up as part of an organisation’s subscription to Write Online, you might receive an automated email advising you of the next step in your subscription. But you won’t have to pay anything if your organisation is covering your subscription.
When you engage our services, you are responsible for clearing copyright on content you provide for us to work on. You must verify that you own the copyright or have specific permission from the copyright holder.
You are also responsible for the accuracy of the information, images, and figures in documents you provide for us to work on. We’ll ask you about any obvious inconsistencies and inaccuracies that we notice.

Other original content that we create or develop for you becomes yours unconditionally once we receive your payment.

Our AI+Human™ services are delivered through the LibreChat platform, which provides secure access to multiple generative AI tools, including Azure OpenAI GPT-4, OpenAI API, Google Gemini, Anthropic Claude, and other leading large language model (LLM) providers.
The LibreChat platform implements comprehensive security controls, including multifactor authentication through Microsoft Entra ID, AES-256 data encryption at rest, TLS 1.2/1.3 encryption in transit, complete user data isolation, and role-based access controls. The platform is hosted on ISO 27001- and SOC 2-certified infrastructure with automated backups and disaster recovery capabilities.
We take the security and privacy of client documents very seriously. The LibreChat platform does not train any LLMs and never will. All application programming interface (API) keys are encrypted and stored securely, with complete separation between user accounts, ensuring no data mixing between clients or organisations.
The platform is configured to work with AI providers that offer zero-data-retention options, where available. However, similar to other cloud-based AI services, some LLM providers may retain data securely for a defined period of time for operational reasons, such as:
For organisations using Microsoft Copilot Enterprise, we have configured our platform to access AI services exclusively through Azure OpenAI Service APIs. This option is available on request.
When using our Azure OpenAI Service, your data benefits from Microsoft’s enterprise-grade security infrastructure, zero-day retention policy, and compliance certifications such as HIPAA, FedRAMP, and SOC 2.
This means that, while LibreChat provides the user interface and platform functionality, all AI processing occurs within Microsoft’s Azure infrastructure — the same trusted environment that powers other Microsoft Enterprise services.
